Minutes of Trust in Yellow Board Meeting - Wednesday 24 September

1. Minutes of last meeting and matters arising.

All dealt with elsewhere on the agenda.

2. Treasurer’s report

Phil C reported that the Trust’s current balance is £24,827.27 including net funds available at £24,684.27.

Since the last meeting, the balance of £840 has been paid to the club in relation to the primary schools coaching scheme for 2013/14 following receipt of supporting documents. This takes the Trust’s total outlay for the sponsorship of this scheme to £2,340.

The trophies for all of this season’s awards have been bought for £53.75. The first quarterly payment has been received from Easyfundraisng in the sum of £60.08, while coach travel for the four away trips to date has generated a surplus of £42. Membership renewals and donations since the start of July total £1,120.

3. Memberships

The Trust’s current membership stands at 237 and Bill S advises a number of renewals are due in September and October.

4. Liaising with local companies

Colin has done a great amount of work in looking to establish links local companies, the latest of which is Elite Positive Fitness, a gym on Virginia Street.

Mark Walls from the gym has offered Trust members a range of excellent discounts and is very keen to work with the Trust to engage with the local community.

Colin, Noel and James will meet with Mark to confirm the Trust’s interest and arrange a promotional photo. The partnership with the gym and offers for members will then be publicised.

Contact with local barbers and restaurants have also been made. Dan Hayes will be asked to add a corporate partners’ page to the Trust website.

5. Coach travel

The small profit from the trip to Telford United was used to subsidise the coaches to Chester and Macclesfield Town, which both ran at a loss.

A special thanks to Phil for making arrangements at late notice with Cambraco to run a smaller coach to Macclesfield as there were insufficient bookings to run the usual coach.

This was the first time the Trust has used a Cambraco coach and the service was well-received. The general feeling was that the smaller coach would probably not be suitable for longer distance trips.

It is highly unlikely that a coach will run to either Grimsby or Braintree due to the lack of bookings.

Initial enquiries will be made in relation to the suggested weekend visit to Bristol.

6. Roles within the Trust Board

There was discussion about developing further roles for board members. The following roles were discussed and will be added to:

7. Co-operation with the club

Contact will be made with the club in relation to progress with the floodlights project.

Haydn Preece attended the Trust’s AGM and it is likely that he will again be looking for sponsorship of the primary schools coaching scheme.

8. Twitter account

With more than 900 followers, the twitter account has become an important method of interacting with supporters and making initial contact with a number of businesses.

The account receives a range of views and feedback from supporters and is also used to promote Trust activities and coach travel.

Efforts will be made to bring the Trust’s Facebook up to date.

9. Awards

The Player of the Month award will continue to run this season and the Trust has received good feedback following the presentation of the August award.

The Trust will look to put together a package including a season’s membership for the supporter who presents the award every month.

Arrangements for the Fan of the Season will be made later in the year.

10. Fundraising

The Race Night is likely to be held after either the match against Braintree Town on 6 December or Chester on 17 January.

Arrangements will be made once Maz at the Grandstand Bar is available and contact will then be made with Tony Adams and Rob Urwin.

11. Results of questionnaire on attendances

The Trust received 21 replies to the questionnaire distributed at the opening match against Forest Green. The results will be published in the next members’ newsletter and passed onto Haydn at the club.

COACH TO MACCLESFIELD - DEFINITELY RUNNING

If you wish to travel to Macclesfield this Saturday please book your place as soon as possible by contacting Phil on 07871991474. The fare is £11 for members and £16 for non members and will depart the Merseyrail Community Stadium at 12.30pm.

A decision on whether the coach will run will be made in the next 24 hours.

MINUTES OF ANNUAL GENERAL MEETING - TUESDAY 2ND SEPTEMBER

2. Brief review of Trusts activities during the year

Alan gave an overview of Trust activities for the last 12 months including the floodlights project which is finally near to completion, providing coach travel to as many games as possible, holding meet the manager sessions, the World Cup Sweepstake, the fan of the season/player of the month awards, player sponsorship and the Race Night. Thanks were also extended to former board members Rob & Julia Urwin for all their hard work both whilst on the committee and as Trust members.

3. Treasurers report and presentation of Annual accounts

The Trusts balance currently stands at £25,762. The vast majority of this will be used up as part of the Trusts contribution to the floodlights. The Trust has donated over £26,000 to the club since its formation in 2006. The shares issued to the Trust for its contribution to the floodlights project will make TIY the third largest shareholder in Southport Football Club. If any member would like a copy of the detailed accounts compiled by Treasurer Phil Carder either contact a member of the Trust board or call into the Trust office on a matchday.

4. Membership

Bill reported that the Trust currently has 230 members. There have been 24 new members joining since the start of the year with an impressive 19 of these joining since the leaflet drive during pre-season. Renewal reminders being sent out by e-mail have also helped but the major factor in boosting membership levels is on pitch success.

5. Vote on the election of board members

Chairman Alan Scarisbrick was re-elected. Elected to the board for the first time were Katrina Taylor, Noel Warham and James Treadwell.

7. Liaising with local companies

Colin reported that several companies are interested in joining the Barbers Parlour in providing offers for Trust members. The Trust can provide local businesses with exposure on its website and newsletter and Haydn Preece also kindly offered free advertising on the clubs official website as well as matchday hospitality tickets.

8. Future events and Fundraising activities

The annual Race Night is likely to take place on Saturday 18th October although this is yet to be confirmed. A quiz night is also in the pipeline possibly taking place in the New Year. A number of player worn shirts have recently been donated which will be either auctioned off or used as raffle prizes. The Celebration Wall will possibly be located on the side of the club shop and the webshop and Easyfundraising are continuing to raise money. The Trust will discuss with the club the possibility of raising money for improved disabled facilities when the floodlights project has been completed.

9. Coach Travel including weekend trip 2014/15

Coaches were run to the games at Halifax and Telford and have recorded a slight profit so far. The weekend trip will probably be to Bristol in April travelling down on the Friday and returning on the Sunday. The option to pay in instalments will be available to anyone interested in going.

10. Clubs community programme

Haydn Preece provided a detailed outline of the many current and future initiatives that form the clubs community delivery. Of the 68 Conference clubs Southport Football Club was awarded 2nd place in the Community Club Of The Year award during the summer. The community coaching is looking to be expanded to include secondary schools and the Trust is keen to support at least some part of this.

11. Any other business

Alan Scarisbrick took the ice bucket challenge to raise money for Motor Neurone Disease. There were 25 replies to the questionnaire issued as part of the Trusts leaflet drive which will be discussed at the next meeting. Tilly the TIY Teddy continues to travel round the world visiting Thailand, Russia and the USA amongst other exotic locations.
